Summary:

The Administrative Assistant at Pacific Seafood is a key role on our farm team supporting efforts to ensure that the department can carry out its functions effectively and foster a positive work environment within the department. This position involves resource management and financial management and is ideal for someone who is organized, adaptable, and reliable. 

Key Responsibilities: 

1. Administrative Support: 
  • Compile regular reporting, and provide specific reporting when needed, ensuring established formats. Participate and assist with office and admin tasks (including but not limited to) assisting with team member recognition and team building events, fill in during vacations and absences of other administrative staff, and arrange staff appointments, meetings, and travel itineraries as needed. Use a variety of word processing software to type letters, reports, and presentation materials. Keep inventory and order office supplies as needed including cleaning of offices. Sort and route department mail. Make supply and mail runs as needed
2. Customer Service Duties:
  • Greet all visitors and answer phones with professionalism and ensure all customer needs are met. Ensure that vendors coming to the facility are vetted and provided with any assistance required. Assist all team members coming to the office with needs, as required, and pass out paychecks on assigned paydays. Ensure all call in sales are entered accurately and window sales are executed in a timely fashion.  
3. A/P and Cash Handling Duties:  
  • Maintain established databases and generate reports from such data. Ensure A/P email inbox is up to date and all invoices and statements are accurately allocated to corresponding locations. Collect payments and balance cash drawer/credit card payments daily, following company established cash handling policies and procedures for all transactions. 
4. Records Keeping:
  • Ensure all vehicle registrations are current including filing all documentation with correct agencies both internal and external. Provide support to leaders and finance regarding records keeping and past transactions and sales. When needed, assist controller team in auditing past invoices and costs for individual operating companies.  
Additional responsibilities may be assigned as deemed necessary to support the overall goals and objectives of the position. 

What You Bring to Pacific Seafood: 

Required:

  • Minimum 2 years related experience. 
  • Experience with Microsoft Office suite 
  • Strong data entry skills.  
  • High School Diploma or GED completion 

Preferred:

  • Associates degree from an accredited college or university in related field from an accredited college or university. 
  • Bilingual in Spanish and English 

Pay Range: $ 20.50 to $22.50
