Summary: 

As the Export Documentation Specialist, you will be responsible for maintaining export files and audit for recording keeping compliance under Export Administration Regulations (EAR) requirements and company guidelines. You will ensure company export compliance with all applicable trade control regulations and issues.

Key Responsibilities: 
  • First line support person for export sales
  • Assure compliance with U.S export regulations Review all export documents and classifications to assure compliance
  • Make export bookings
  • Arrange for and coordinate inland transportation with approved trucking companies and Pacific plants and cold storages.
  • Interface with approved freight forwarders in coordinating and overseeing export shipments
  • Advise supervisor of any problems or irregularities discovered within assigned transactions
  • Create export documentation
  • Collect export documentation and compile packages required for efficient, effective and trouble free collection of payments from customers
  • Assist in developing proficient procedures to expedite processes in a timely manner
  • Communicate with export customers when necessary to update on shipment progress or answer other shipment related questions when Export Manager is not available
  • Manage and maintain shipment files with contracted export customers
  • Responsible for maintaining shipping recordkeeping
  • Negotiate export freight rate contracts and maintain spreadsheet.
  • Negotiate Trucking rates and maintain spreadsheet.
  • Receive weekly booking schedule from sales team.
  • Make bookings with steamship lines using the best cost effective service for each booking.
  • Dispatch a loading schedule to our production and storage facilities and closely monitor schedules.
  • This includes working with trucking and forwarding companies in Vancouver, BC to get necessary documents for exportation. Follow each booking to ensure delivery to the terminal.
  • Amend bookings and arrange any late gate delivery at the terminal if necessary.
  • Create working file for export facilitator and input into the PSG log all booking information.
  • Research any rate requests from sales team for the most cost-effective rate.
  • Arrange and track any diversion requests with the steamship line and monitor to its final destination.
  • Identify and resolve all shipment related issues to ensure cargo is delivered to the terminal prior to cut off.
  • Research any freight invoice disputes and resolve for payment or credit.
  • Compile export shipment tracking spreadsheets and trading overviews
  • Handle initial sales calls and customer development
  • Perform other duties, as assigned

What You Bring to Pacific Seafood: 

Required:

  • Bachelor’s degree in related field
  • Minimum of two years related experience
Preferred:
  • Basic Desktop set up support (Phone and PC/Laptop)
  • Excellent customer service skills.
  • Strong Computer skills in MS Office Suite, primarily Word and Excel.
  • Strong data entry skills.
