Summary: 

An Executive Assistant at Pacific Seafood is a key role on our Legal team supporting the
General Counsel & Director of Legal Affairs to anticipate the needs of the executive, streamline processes, and effectively manage time and resources. This position involves ensuring the smooth operation of daily tasks and responsibilities and is ideal for someone who has exceptional organizational skills, precise communication abilities, and a keen understanding of the executive's priorities.  

Key Responsibilities:

1. Administrative Support:  
  • Manage and prioritize executive's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements. 
  • Act as a gatekeeper, screening and prioritizing incoming emails, calls, and requests, ensuring efficient time management for the executive. 
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the executive. 
  • Organize and maintain files and records, both electronic and physical, to ensure easy retrieval of information. 
  • Support other members of Legal department as needed
2. Communication Liaison:
  • Serve as the primary point of contact between the executive and internal/external stakeholders, demonstrating professionalism and discretion in all interactions. 
  • Facilitate communication between the executive and various departments, ensuring a smooth flow of information and coordination. 
  • Draft, proofread, and edit documents, emails, and reports, maintaining a high level of accuracy and attention to detail. 
3. Project Management:
  • Assist in the planning and execution of special projects, initiatives, and events, coordinating tasks and deadlines with various teams. 
  • Conduct research, compile data, and prepare reports to support decision-making processes. 
  • Anticipate and address the executive's needs proactively, taking initiative to streamline processes and enhance overall efficiency. 
4. Office Operation and Confidentiality:  
  • Oversee office operations, including ordering supplies, managing office equipment, and coordinating with IT support when necessary. 
  • Handle sensitive and confidential information with the utmost discretion and professionalism. 
  • Ensure the executive is well-prepared for meetings and engagements by providing necessary documentation and briefings in advance. 

Additional responsibilities may be assigned as deemed necessary to support the overall goals and objectives of the position. 

What you Bring to Pacific Seafood:

Required:

  • BA/BS degree from an accredited college or university in Business, Sales, Marketing, or related field. 
  • Minimum 2 years of experience working in a similar role; or equivalent combination of education and experience. 
  • Knowledge of Microsoft 365 tool and possess a proven track record of reliability.  

Preferred:

  • Prior experience support C-level executives or lawyers, either in law firm or corporate setting
